Tue Oct 29 13:23:37 CDT 2019
Hi all,
The next SOS Collectors call is Tuesday, November 5th. These monthly calls are
required for all seed collecting teams. Let me know if you need the call in
information.
>From the Smithsonian: There has been some issues with teams not following
proper label procedures along with other issues:
1. Not cutting out labels to size
2. Not following the label template from the BLM website
3. Labels missing
4. Transmittal notices missing
PLEASE refer to the protocol, guide to shipping, and use the online
herbarium label template all available on the SOS website (blm.gov/SOS) and
always feel free to contact me with any questions.
>From Bend - PLEASE send clearance forms to Leah at the National Office as
soon as you determine you will be requesting seed back. The sooner Bend is
aware, the faster the seed can be cleaned. *PLEASE be clear when shipping
NON SOS lots to Bend, label these collections as "NON SOS"* not
"operational collection". Bend has a separate NON SOS form you can use.
Draft Agenda:
Roll call
Reporting and end of year procedures
Round Robin/Updates - please come prepared with how your season is going,
number of collections made so far, number shipped to Bend, and number you
plan to ship soon.
If you do not have a 2019 portal log in please contact me.
Just as a reminder, the calls take place at:
8 AM Alaska
9 AM Pacific
10 AM Mountain
11 AM Central
Noon Eastern
Please contact me if you need the call in number.
Below are points from our October call:
-
*Data entry via the portal is also due by Dec. 15th *
- PLEASE be sure to fill out the first/top date box. If you collected
over multiple dates, you can use the free text range, but PLEASE
make sure
the first date box is always filled out. This is how the database tags
collections by year so when I query 2019 collections they will
only show up
if the first box is filled out.
- "Collection Number" is JUST a number, NOT your full seed collection
reference number. "Seed Collection Reference Number" = "Collector Code -
Collection Number" in other words, WO220-5 is your seed collection
reference number, WO220 is your collector code and 5 is your collection
number.
- Please do not include negative signs in your LAT/LONGS the database
has West already defaulted.
- Always be sure to click the MAP button after entering your LAT/LOGS
which will generate a google map so you can double check your collection
site
- Please be careful when entering associated species, only I can edit
this once you submit (including deleting duplicates)
- *Reporting*: Please leave all SOS records in good order, ensuring that
datasheets, photos and other records are saved electronically at your
office. All data forms, photos, and annual reports are due to Leah by Dec.
15, materials sent in early are always appreciated. If for some reason you
cannot meet that deadline, please let Leah know.
- The SOS annual report template is available on the website.
- Please submit any extra photos of people collecting, or new collection
techniques you may have tried. These will be used for reports and new
training materials.
Thanks,
Leah
