*SOS Call Notes - Tuesday October 3, 2017*

There were 25 teams present on the call.

* General Announcements:*

DATA ENTRY-– approximately 900 records are now in the database! Please
remember to export review your data after it has been entered to catch any
mistakes or missing information.

ANNUAL REPORTS– The template is available on the SOS website (also
attached). If your office is making seed collections that will NOT be
submitted to the SOS program, please include these under the ‘internal
research’ section.

END OF YEAR MATERIALS- (annual report, datasheets, photos) are due to the
National Coordinating Office* by Dec. 15th*. Sending materials in a
GoogleDrive folder and sharing them with Rachel is an easy way to turn in
this information. Mailing hard copies, flash drives, or CD’s with
information to the National Office is also an option.

PHOTOS-There should be three photos per collection (plant, habitat and
seed). Photos should be labeled as “SPECIESCODE_SOS Reference Number_A B or
C”.  (i.e. SPPA2_WO313-1_A).  Photos are an important piece of an SOS
collection. They provide a snapshot of what the collection site looked like
at the time of collection. Please do not submit photos if they are not from
the collection site. If you are missing a few photos, please just let
Rachel know.

SOS TRAINING – The DOI Learn course “Seed Collection for Conservation and
Restoration (Seeds of Success 1730-06)” is scheduled for May 15-17, 2018 in
Fort Collins Colorado. If you are a mentor who has not been to the training
or have not been in a few years, please consider signing up for the course.

CLEARANCE FORMS – If you would like the remaining balance from any of your
collections to be returned to your office or a partner for plant materials
projects, please submit a clearance form to Rachel by *Dec. 15*.

* Bend Announcements:*

-Please try and have all seed shipped to the Bend Seed Extractory by
November 1st. If you are making late season collections, please e-mail
Rachel *by Oct. 13th* with the number of collections your team will be
making after November 1 and how many will be over 5 lbs raw weight. Please
note: all collections will still be accepted! These numbers are just to
help Bend plan their workload and hiring needs.

-Shipping fleshy fruits - Fleshy fruits are to be shipped wet and as
quickly as possible. Shipping overnight the week they are collected is
ideal. Keep fruits refrigerated, never frozen, until shipment.  Place
fruits in plastic bags filled with air to prevent damaging the fruits and
be sure your box is sturdy and well padded to avoid damaging the
collection. Please do not dry your fruits. Dried fruits require extra
processing steps, and will likely result in loss of seed due to inability
to separate from the dried fruit.  If you have any specific questions –
please contact Kayla and Sarah.

* Smithsonian Announcements:*
Some teams have had issues sending vouchers via FedEx to the P.O. Box
address listed on in the “Voucher Specimen Techniques” document on the SOS
website. The “SOS Technical Protocol” and the “Guide to Shipping SOS
Materials” documents have the correct address, which is:
