Job Description

Position: Membership Coordinator/Outreach Assistant

Status: Part-time, 26 hours per week

Reports to: Membership and Communications Manager

Location: Ligonier, Pennsylvania

Salary Range: Dependent on experience

Purpose of Position

The Natural Areas Association (NAA) is a non-profit membership organization
that seeks to

expand and strengthen its membership program as well as the services
provided to its

members. To that end it is hiring a part-time Membership Coordinator and
Outreach Assistant.

The Membership Coordinator and Outreach Assistant will further the mission
and strategic plan

of the NAA through the development and implementation of a membership
recruitment and

retention plan, ensure that relationships are cultivated according to best
development practices,

manage the organization's members and assist in the development of outreach
materials and

programs for current and future members. The Coordinator will manage the
Etapestry

database, including all of the organization's members and potential members.

This is a new position for NAA and the person hired will have the
opportunity to work with a

small, dedicated team to take the organization to a new level, in a work
environment that

stresses collaboration and mutual support.

Responsibilities:

The responsibilities of the Membership Coordinator/Outreach Assistant
include, but are not

limited to, the following:

! Membership Acquisition and Recruitment

* Develop an updated Membership Acquisition and Development Plan for the

organization

* Lead and facilitate the implementation of the Membership Acquisition and
Development

Plan

! Membership Management

* Day-to-day management of NAA's membership program

* Respond to emails and phone calls from members and the public and/or
direct them to

the appropriate person

* Regularly communicate with NAA members regarding membership status, dues
and

other related topics. Maintain scripts for general communications with
members and the

public

* Write and send thank you and other letters or correspondence to members
and donors

as assigned

* Enter and keep current dues payments; manage database contact information
for all

members. Coordinate, prepare and distribute membership renewal and
publicationsrelated

mailings

* Maintain and update databases, spreadsheets and other tracking mechanisms.

* Produce monthly membership reports

* Track inventory and oversee claims and fulfillment of orders for the
Natural Areas

Journal and other publications and products

! Outreach Assistance

* Assist the Membership and Communications Manager and Executive Director
with

outreach and programming

* Assist in planning the annual Natural Areas Conference with specific
duties including,

but not limited to, the conferences program administration

* Work to gain a clear understanding of members' needs as they relate to
programming

and outreach

* Organize and maintain publications/merchandise for sale and distribution

* Proofread documents as needed

* An overall willingness to take on other duties as needed to help NAA meet
its goals

Qualifications:

* Professional with a track record of building and implementing membership

recruitment and retention efforts for nonprofit organization(s)

* Excellent interpersonal, organizational, administrative and communication
skills

required; comfortable interacting with staff and external audiences
including

communicating in a clear and polite manner in person and on the phone

* Systematic, results-oriented person who thrives in an innovative, tactical

environment

* Bachelor's degree and three to five years of experience; advanced degree a
plus.

Two years' minimum experience in membership management

* Strong knowledge and command of e-Tapestry or a similar constituent
relationship

management (CRM) database

* A proficiency in: the Microsoft Office Suite, especially Excel and
Publisher.

Proficiency in MailChimp and WordPress a plus

* Must have outstanding writing, editing, and verbal communication skills

* A demonstrated ability to simultaneously manage multiple assignments and

perform a variety of tasks in a fast-paced environment, meet deadlines and

consistently follow up on details

* Must be able to exercise good judgment, take initiative, function
independently with

limited supervision and work in close collaboration with others; be
dependable with

precise attention to detail

* Willingness to work beyond conventional office hours as required

* Willingness to travel to the Natural Areas Conference each year, as well
as one -

two other meetings of staff and/or board in various locations across the
country

* A commitment to, and interest in natural areas conservation and NAA's
mission,

vision and values

Physical Demands:

Normal office duties as performed at a desk (may require long periods of
sitting and

computer typing). Ability to carry equipment up to 20lbs. Outdoor work
generally involves

visits to properties and the ability to walk on properties that may or may
not have

developed trail systems and occasionally consist of steep terrain.

Work Environment:

Approximately 95+% indoor office work and less than 5% work outdoors. Office
work is

primarily sitting at a desk with a computer or in meetings. Most travel is
outside of PA for

meetings, conferences, and trainings. Driving to sites or to meet with
vendors may require

the use of personal vehicle.

Salary and Benefits:

Salary is dependent on experience. Schedule can be flexible with agreement
of supervisor.

There is no health insurance or retirement plan with this position.
