Position Description

Position: Operations Manager

Status: Part-time, 17.5 hours per week

Reports to: Executive Director

Location: Ligonier, PA

Salary Range: Dependent on experience

Introduction:

The Natural Areas Association is a national 501(c)(3) nonprofit organization
dedicated to natural areas

conservation.

This position requires a commitment to the mission and expressed values of
the Natural Areas Association.

The NAA's mission is to support the community of natural areas
professionals. We help members reach their

professional goals, promote natural areas management based on science, work
to raise awareness about the

need for natural areas conservation, and support natural areas research.

Purpose of Position:

The Operations Manager (OM) serves as the operations/business manager of the
organization and is

responsible for daily operations and managing all business functions.
Responsibilities include but are not

limited to: managing the NAA office, interfacing with members, vendors and
the community; budgeting,

financial reporting, and accounting oversight (in coordination with our
bookkeeper); general NAA

administration including records-keeping and writing and/or guiding policy;
supporting the Executive Director

with grants administration, fundraising and development support. The OM is
responsible for furthering the

goals, mission, and strategic plan of the organization by supporting the
Executive Director, NAA staff and

Board of Directors on key NAA programs and initiatives such as the Natural
Areas Conference, student

programs, outreach, and other initiatives/programs. This is a new approach
to this job position for NAA and the

person hired will have the opportunity to work with a small, dedicated team
to take the organization to a new

level, in a work environment that stresses collaboration and mutual support.

Responsibilities:

The responsibilities of the Operations Manager include, but are not limited
to the following:

! Budget and Finance

. Utilize financial data to improve and control operational budgets

. Control inventory

. Review financial statements and data

. Facilitate budget development

. Participate on Finance Committee

. Coordinates with Treasurer and bookkeeper on cash flow projections,
accounting needs,

budget development and monitoring, investments, and financial reports

. Respond to inquiries of Treasurer, Executive Director, Board of Directors,
Bookkeeper, and

Auditor

! General administration

. Plan, direct and coordinate the operations of the organization

. Implement and manage operational plans

. Manage, develop and/or update operations policies and procedures manuals
or guidelines

. Responsible for overall management of NAA business office

. Administer NAA office systems and communications (emails, general
correspondence)

. Develop and/or improve processes and policies in support of organizational
goals. Formulate

and implement departmental and organizational policies and procedures to
maximize output

and efficiencies. Monitor adherence to policies, bylaws, and procedures

. Maintain office files, records and schedules. Work in coordination with
Board Secretary to

maintain NAA records such as meeting minutes, bylaws

. Provide general operating support to: the organization, ED, membership,
Board of Directors,

committees, and other individuals identified by ED or the Board.

. Liaison and coordinate business-related contractors and vendors providing
services to NAA

(e.g., printers, bookkeeper, technical support, etc.)

. Identify, recommend and/or implement methods for improving operations and
efficiencies

. Oversee and manage office technology (internet, phone, printers, etc.)

* Overall Organizational Support

. Assist the ED, board members and staff with strategic planning,
fundraising, implementation

of programs, conference planning and on-site activities, communications,
fundraising and

other initiatives as requested.

Qualifications:

* Professional, creative, enthusiastic, friendly personality who enjoys
working with people;

willingness to collaborate with a team on a wide variety of initiatives and
participants including staff,

board, volunteers, contractors and interns

* Critical thinking and problem solving skills

* Excels at planning and organizing

* Knowledge of and experience in operations management and/or business
management

* Knowledge of and experienced in project management principles and
practices

* Systematic, results-oriented person who thrives in an innovative,
tasks-oriented environment

* Bachelor's degree in business administration, management, communications,
non-profit

management or other applicable field; MBA or other advanced degree a plus

* Knowledge and command of nonprofit accounting (GAAP) principles and
practices

* 3-5 years prior operations, administration, communications and/or finance
experience

* A proven track record of operations and/or project management. , as well
as familiarity with

Quickbooks, WordPress, and/or e-tapestry a big plus

* Must have outstanding writing and verbal communication skills

* Proficiency with Microsoft Office Suite, with a strong command of Excel
and Word

* Must be highly organized and able to simultaneously manage multiple
projects, establish

priorities and meet project deadlines

* A self-starter, with a desire to learn and keep current with operations
and non-profit administration

trends, including technology

* Willingness to work beyond conventional office hours as required

* Ability to travel to the annual Natural Areas Conference each year, as
well as other meetings of

staff and/or board in various locations across the country

* Willingness and discipline to work in Ligonier, PA office as well as
telecommute from home in as

needed.

* A commitment to, and basic understanding of, NAA's mission, vision and
values

Physical Demands:

Normal office duties as performed at a desk (may require long periods of
sitting and computer typing).

Ability to carry equipment up to 15lbs. Driving to vendors or for errands
may require the use of personal

vehicle.

Work Environment:

Salary and Benefits:

Salary is dependent on experience. There is no health insurance or
retirement plan with this position.
