[SOS-PCA] Updated SOS shipping assignments and November Collector Call Notes

Hello everyone,
Thank you for your time today at the SOS November Collector Call. We will have one more meeting in December before taking a break in January to reset and will start up again with our first call of 2025 in February. I sincerely thank all of you for all the hard work and dedication you have shown through this season, and your flexibility as we scale up our national seed collection efforts.
Below you will find a summary of topics discussed on the call, and I have attached several helpful documents. These documents are also available through the GeoPlatform Help Documents and the SOS website. If you have any questions you know where to find me (sehill at blm.gov)!
National Office Announcements
Current season updates
Onboarding new people or if you were forwarded this meeting notification – All those involved in SOS should sign up for the collector call and mailing list to stay up-to-date on program logistics and updates throughout the season. The listserv and collector call list are how we communicate with everyone throughout the season, so it is critical you have signed up through the right channels.

Treating seeds with No Pest strips / Terro Garbage Guard

If you are treating seed – definitely use PPE!! Wear masks and gloves, make sure you are venting the box before sticking your head in to grab seeds, and don't leave the treatment box anywhere that other people are going to be working in. For more detailed instruction review section 13a of the SOS technical protocol. We want to make sure everyone stays safe while treating the seeds!
End of season wrap-up

Once seed has been sent to a facility, fill out the appropriate Clearance Form. Clearance form tells facility to prioritize cleaning. Forms must be in by Jan 30th.

Make sure everything is wrapped up and documented properly before season is closed out

Send end of season documents (after final data QC review) to your agency coordinator

Make sure you are communicating with your Agency Coordinator when you are going to end / if you are going to extend your season.
Shipping Vouchers to Smithsonian – Send ASAP or wait until after the new year

Smithsonian voucher freeze Nov 20th through Jan 6th. If you can’t send them before that date and you are going to be done, arrange for someone to send them when they can accept them

Shipping can resume after the first week of January.

Shipping seeds

Know where you are supposed to send seeds! Updated list will be sent out via email and posted in your GeoPlatform help documents.

Seed might go to different locations depending on when it is needed back. Please review cleaning assignments and number of collections each team should send to each location carefully. If you have any questions, reach out to your Agency Coordinator and Sarah Hill.

Fill out seed tracking form for collections that have been/are being shipped. If you need to delete a seed tracking form, follow guidance in “How to Edit Seed Tracking Forms” in GeoPlatform Help Documents

Last chance for any digital data collection feedback: SOS Digital Data Collection Feedback. New season forms will be finalized before the end of 2024 and cannot be edited when finalized.

Send any shapefiles for next season to Kristy by December 15th

We will be decommissioning the 2024 groups sometime in late January/early February. Keep an eye out for a message with a specific date. If still collecting, please plan to use paper data sheets at that time.

2025 teams – If you are involved in 2025 you will need to sign up for a new collector call and get readded to a geoplatform group. We shut everything down and reset it each season, and a new SOS registration form will be sent out with December collector call. You will not need to create a new GeoPlatform account if you were active this season (BLM deletes accounts if they have been inactive for one year), but you will need to fill out the SOS registration form to be added to a group in 2025.

As the season winds down, we are developing compiling new resources for the 2025 season. Some folks have expressed that it would be nice to have a condensed version of the protocol or an “in-the-field" list of tasks to keep track of seed and data collection. If you have developed a tool or list to help track SOS tasks through the season, we would love if you could share them with us to inform how we develop our help documents for 2025. Please email anything you think could be helpful to other SOS crews to Sarah at sehill at blm.gov.
End of season feedback

We are gathering feedback on ideas to improve the program for 2025 – ideas on training, digital data collection forms, and program workflows are all welcome. You can email your feedback directly to Sarah, submit it anonymously through the Geoplatform, give it to your agency coordinator, or schedule a meeting with Kristy and Sarah.
Information storage

We are looking at ways to condense where SOS information lives in order to make it easier for collectors to find information they need throughout the season. Because we work with three agencies and a variety of non-federal partners, and also want to share a large amount of material, we have limitations on the kind of information we can keep on different platforms, but if you have any ideas on tools that we could use next season, please email Sarah Hill, sehill at blm.gov<mailto:sehill at blm.gov>.
Seed collection techniques

We are beginning to compile information on tools/techniques that are useful for certain species, genera, or seed types. If you have a document with this information, or are interested in documenting your efforts this season, please send the document out on the SOS listerv so that others can benefit from it. Additionally, please send it to Sarah Hill, so she can compile the information and make it available for collectors in the future.
