[SOS-PCA] SOS CALL NOTES - Tuesday Sept. 5

Thanks to everyone who called in!
There were 22 teams & partners on the call.


General Announcements

·         If there are any updates to species, identifications please send
Rachel an email ASAP. Its best to catch this before seed goes into bend or
long-term storage but we know that is not always possible. I keep a record
of these correspondences in our files in the event that what is on the
datasheet does not match what is in the portal or what our storage partners
have.

·         Please send clearance forms to Rachel for any collections you
would like sent to your office or a partner. Please consolidate your
clearance forms as much as possible, so, if you know you need 6 collections
returned on the same date, use only one clearance form for these.

·         *Annual Reporting*: Please leave all SOS records in good order,
ensuring that datasheets, photos and other records are saved electronically
at your office. All data forms, photos, and annual reports are due to
Rachel by Dec. 15, materials sent in early are always appreciated. If for
some reason you cannot meet that deadline, please let Rachel know. The SOS
annual report template is available on the website. Sending docs. Via
GoogleDrive has been an easy way to send your final materials, but DropBox
and even mailed materials are acceptable.

·         Please submit any extra photos of people collecting, or new
collection techniques you may have tried. These will be used for reports
and new training materials.

·         Data entry via the portal is also due by Dec. 15th. There are
currently 450 collections entered into the portal yet we are expecting
~2000 collections this year. Please make sure you are working this into
your schedule. If you cannot meet the deadline, please let Rachel know.
Please export your data once you are finished entering it to look for any
errors or fields you may have forgotten to fill out.

·         There was a question about filing permissions for collections not
made on BLM land. The National Coordinating Office is not collecting those
documents at this time, so please file these in a known location at your
local office.

Bend Updates

·         There is a new deadline for seed being sent to Bend. Seed must be
in by November 1st. This is to ensure they have plenty of time to meet the
deadlines for all of their clients. Many of you plan to make collections of
sagebrush or other late flowering species past this deadline – Rachel will
be sending a data call out in the next month or so, requesting information
on the size and number of collections you anticipate making after the Nov.
1 deadline. This delayed data call is so that teams will have a better idea
of what they will accomplish. Kayla notes that this is also important for
hiring needs so please reply promptly.

·         Additionally, please notify bend before sending any shipments
weighing 20 lbs. or more. These large collections will be accepted on a
case-by-case basis.

·         ***Please notify Bend once you are finished sending collections
for the season. They may be able to get your season report back to you
sooner.

·         ***Please check your accession numbers before sending seed to
Bend. Sarah & Kayla have received quite a few lots listing the same
collection number for different species.

Smithsonian Updates

·         Smithsonian vouchers - Just a reminder to send all unmounted
herbarium specimens to Erika at the Smithsonian. Please include an
herbarium label for each collection and a transmittal notice for the entire
shipment. You *do not* need to include data forms. If you have any
questions please contact Erika Gardner.

·         ***Erika kindly requests that all teams follow the shipping
instructions outlined on SOS website so that specimens are not damaged
during transport.

·         ***There are a couple typos on the website related to the
Smithsonian. Erika’s contact is – gardnere at si.edu phone: 202-633-09*36*.

SOS Fun fact: To date, SOS teams have made nearly 22,000 collections of
approximately 5500 unique taxa across 43 states. Special shout out to Kyle
in Rawlins WY who correctly guessed *Poa secunda* as the #1 collected
species of all time.
