SOS Collectors’ Call Notes

July 11, 2017

·         There were 18 participants on the call

·         National Office Updates

o   SOS training for CLM interns was June 14 and there were 60 participants.

o   Thank you to everyone who has helped the coordinator track down missing
data from 2016!

·         For collections made on private land, please send a copy of the
written permission with your specimens to the Smithsonian & your regional
herbarium.

·         The “Guide to Shipping SOS Materials” has a typo! Kayla
Herriman’s emails is kherriman at fs.fed.us

·         SOS Data Portal Reminders – 2016 was the first year that teams
entered their own data via the online web portal. Most of the data looked
great, but just a few tips/reminders:

o   Seed Collection Reference Number is the [COLLLECTOR CODE] “-“
[SEQUENTIAL COLLECTION NUMBER]

o   Collector Code – The collector code *must* be filled out prior to
saving the record. This field allows a team to go back and edit/access
their data.

§  Example: MARSB, UT060

o   Collection Number – is just the *sequential collection number*.

§  Example: 5, 6, 113

o   The Alt. Collection Number (optional) - A secondary identification
number representing a code assigned by another organization or individual
involved in the collection, a batch number or other numbering system
previously employed by the current institution.

§  Example: JFR16-079

o   Please keep the collection numbers and alt. collection numbers
separate.

o   Collection Date - Please utilize the first two date fields before
entering any remaining dates in the free text box.

o   Latitude & Longitude:

§  Please be sure you are entering lat/long as DMS. If need be, convert
your coordinates into DMS. A great resource is:
http://www.rcn.montana.edu/resources/converter.aspx

o   Location Information – Please remember that these need to be detailed
driving directions to the collection location.

o   Elevation – please do not use commas.

o   If you need help fixing any part of a datasheet: duplicate or incorrect
associated species, missing collector code, incorrect seed collection
reference number, etc. please contact Rachel Hosna ASAP.
