Subject: Advisory - Email Address standard brings retirement of old
legacy addresses

 

Attention E-mail User,

 

Please review this entire message to determine if action by you is
required to ensure e-mail messages from your colleagues and/or automated
systems are not interrupted.

 

Introduction

 

As many of you may be aware, the IHS has been engaged with transition to
the HHS Enterprise E-mail Service known by some as HHSMail.  We are now
closing in on the final transitions at the Area Offices which brings the
need to perform a few housekeeping items.  One such item likely to
require action by you is the retirement of old legacy e-mail addresses
that have accumulated throughout the years.

 

This means that all users of the HHSMail system will only retain 2
standard e-mail addresses.  These are:

 

*      Firstname.Lastname at IHS.GOV

o        This standard was implemented around 2001 by the IHS.  During
planning meetings for the HHSMail system, it was agreed that each HHS
agency would retain this address format.  The Office of Information
Technology recommends this e-mail format be used as your primary
address.

*      Firstname.Lastname at IHS.HHS.GOV

o       This standard was implemented based on HHS requirement, deployed
by IHS in 2001, and carried forward to the HHSMail system.  This email
address works the same as the one above and can be used as an
alternative where the political environment warrants.

 

This information is important because if you have provided any other
e-mail address to people that you correspond with and/or to systems that
send you automated messages, you will need to take action prior to March
31, 2007.

 

Action Items

 

1.	Unless you already use one of these e-mail address formats and
therefore are familiar with your standard address, you'll need to verify
your standard address by viewing them from the Global Address List (GAL)
using the Outlook e-mail program.  To do this:

	a.	Go to the GAL in Outlook and find your name
	b.	Right-mouse-click on your name and select properties
	c.	Click on the E-mail Addresses tab to display address
information
	d.	Locate your primary e-mail address and, if needed, your
alternate e-mail address that conforms to the standard format noted
above and shown in the example below.  Use this information in the steps
below.

 

 

 

2.	Send e-mail notices to your colleagues that are not on the GAL
to inform them of your standard e-mail address prior to March 31, 2007.
Typically, this includes anyone that is not an HHS or IHS federal
employee.
