Other folks responded in the chat: * This is my first season with SOS, we are heavy into our rainy season. Any tips in collecting in rain? I worry about being late to collection and potentially only having rain to collect in. Focus on drying after collection? * We had to collect in a thunderstorm recently. We used fabric bags in the field and then brought them back to our seed room. We emptied the fabric bag into a paper bag and then put them in front of a fan. * We have good luck at BSE with wet material spread thin (<2") and open to the air. Mix daily. There have been over 550 seed collections made across 73 crews, a monumental effort with more to come! As some teams are winding down for the season, it?s time to focus on data QC! We are creating additional guidance for data QC and will go over a detailed process during the Collector Call on September 3rd. In the meantime, here are some quick updates and reminders. Removing derogatory words from place names Please double check that any of your locality information does not include the word ?sq**w?. Secretary Haalad officially declared sq**w a derogatory term and there is a large effort to update place names that contain this slur (https://www.doi.gov/pressreleases/secretary-haaland-takes-action-remove-derogatory-names-federal-lands). We have been changing the place names with this term in the SOS Historic Dataset. When finalizing your data QC, please double check that landmarks and roads have been changed to the correct term. If you have any questions or are having trouble correcting a location name, please reach out to me at ksnyder at blm.gov. New tab on the QC Dashboard You will notice when you open your regional SOS Data Management Site, there is a new tab on your Collection QC Dashboard titled ?Are all of your forms filled out??. This tab is meant to help folks verify if their collection numbers, scouting IDs, and seed tracking numbers connect. Column 1: This is the accession number from your SOS Seed Collection form. Column 2: The Scouting ID on the collection form. This field should match the Scouting ID on the corresponding Scouting form. Column 3: This column is checking for an exact match of your accession number in the Collection form to the Scouting form. If the cell says ?Yes?, you have correctly filled out your forms! If the cell says ?No Match?, you will need to: 1. Check that the Accession Number on your Collection form is correct. 2. Check that you have entered the Accession Number onto its corresponding Scouting form. Column 4: This column is checking for an exact match of your Scouting ID that was entered on your Collection form to your Scouting form. If the cell says ?Yes?, you have correctly filled out your forms! If the cell says ?No Match?, you will need to: 1. Check that the Scouting ID on your collection form corresponds to a Scouting ID on the Scouting form. 2. Double check your date (in YYYYMMDD format) and the 2 code unique identifier are correct. The date should be the first date you scouted the population in 2024. The unique identifier is the number automatically generated by the form. This is not a number that you have created yourself. 3. Check that your Scouting ID on the Scouting form is correctly filled out. Column 5: This column checks that each accession has an associated Seed Tracking form. If the cell says ?Yes?, then you have shipped your seed and correctly completed the form! If the cell says ?No Match?, you will need to: 1. If you have not yet shipped your seeds, then you can ignore the warning. Please remember to complete the Seed Tracking form when you ship your seeds. 2. We will be reviewing the data QC document and process in detail at the next collector call, so it is especially important that folks attend the call. QC and digital data user guidance Kristy and I created new resources for using digital data collection tools and will review these at the next collector call. The Digital Data QC guide walks you through what to look for and how to edit your collection and scouting data, and the Digital Data User Guide addresses common questions and basic information about the digital data tools. These documents are also available in the help documents in your geoplatform group. We have also been looking through the data for the season and have noticed a few common errors - here are a few reminders: * You do not need to run location calculations anymore. Kristy developed a method to run it for everyone weekly. Location calculation fields are updated every Friday. * Please check the location of your scouting and rescouting points, and make sure you create your forms in the center of your population. There are many points that are populating at peoples houses and offices because they are not opening the digital forms in the field. If you are creating forms back at the office, consult the QC guide for information on how to fix your coordinates and mapped point correctly. Kristy has corrected some points that are off the coast of Africa that had coordinates in the lat/long fields, but some points did not have coordinates or a correct location. Seed Shipping Reminders A few collections have arrived at our cleaning facilities without proper documentation or without having an associated seed tracking form. Please remember the following: BEFORE YOU SEND SEED * Know which facility you are supposed to send seed to and if you need to notify them when sending seeds. When sending to Bend you do not need to give them a heads up. When sending to Dorena you DO need to let them know by emailing Bracken.Bing at usda.gov, and do not use USPS to ship. USPS has a hard time finding the right place to deliver the material. * Review the forms you export from geoplatform, ensure the information is correct and that each collection has a data sheet in the box * Double check that the collection numbers and species on the bags/boxes match the data forms and are correct. THERE SHOULD ONLY BE ONE COLLECTION PER COLLECTION NUMBER. * Fill out a seed tracking form for each collection being submitted (essential for tracking our capacity at different seed cleaning facilities). If a collector is handing the seed off to someone else to ship, the collector should still be filling out the seed tracking form, or ensuring that the person the seed is being handed off to is.
