Volunteer Coordinator/Administrative Assistant Position Available

Channel Islands Restoration, Santa Barbara

INTRODUCTION: Channel Islands Restoration (CIR) is offering a challenging
part to full-time position coordinating volunteers for habitat restoration
projects on the Channel Islands and the mainland and assisting us with
various administrative tasks.   This is a unique opportunity to work in the
field of habitat restoration, volunteer coordination and environmental
education with a fast-growing and dynamic non-profit organization.  This
position involves managing multiple administrative details in a fast-paced
environment.

 

POSITION: Volunteer Coordinator/Administrative Assistant

TERM: Flexible, depending on the candidate (part to full-time, 30 to 40
hours per week)

REPORTS TO: Executive Director, CIR

LOCATION: CIR office in Santa Barbara (does NOT include habitat restoration
work)

COMPENSATION: $16 - $22 per hour depending on experience

 

SUMMARY: This is a part to full-time position, including volunteer
coordination (approximately 60% - 80%) and administrative duties
(approximately 20% - 40%).    Exact job duties and hours will depend on the
candidate’s experience and availability.

 

Many duties will be performed in cooperation with other CIR staff members.
Specific duties may be adjusted depending on seasonal fluctuations and
workload.  Work will be performed primarily in the CIR office and will
include some administrative duties out of the office, as well.  The
individual will work in close cooperation with CIR staff and representatives
of partner organizations.  

 

Volunteer Coordination Duties and Responsibilities:

The duties listed below are intended only as illustrations of the various
types of work that may be performed. The omission of specific statements of
duties does not exclude them from the position.

 

•             Promote and maintain a wide range of volunteer opportunities
within the organization through written communications, including email,
social media and press announcements, in cooperation with other CIR staff.

•             Recruit volunteers to commit to one-day, short-term, and
long-term volunteer opportunities on the mainland and Channel Islands.

•             Communicate regularly with volunteers to answer questions and
provide instructions.

•             Track volunteer commitments and hours in the organization
database and report hours to CIR and partner organizations.

•             Manage volunteer paperwork (including waivers and permission
slips) for CIR and partner organizations.

•             Act as a single point of contact for communications with
volunteers and interested corporate/service groups and schools.

•             Research relevant community organizations to recruit
additional volunteers.

•             Work in close cooperation with partner organizations on
schedules and volunteer needs.

•             Co-facilitate and support training of certain volunteers for
CIR and partner organizations.

•             Perform other duties as assigned.

 

Volunteer Coordination Required Qualifications:

•             Have at least two years of experience working in an office
environment.

•             Have strong administrative skills, including demonstrable
touch typing skills.  

•             Have a high level of proficiency with Microsoft Windows, Word
and Excel.  

•             Have experience with office administration practices and
procedures; principles and practices of sound business communication;
correct English usage, including spelling, grammar and punctuation.

•             Ability to manage multiple priorities and deadlines; perform
highly detailed work on multiple concurrent tasks.

•             Ability to set priorities, take initiative and exercise sound
independent judgment within areas of responsibility.

•             Possess strong language and communication skills (written and
oral).

•             Ability to communicate with, supervise, motivate and empower
volunteers to be effective in their roles.  

•             Ability to build relationships and work with volunteers,
community members and CIR Partners.

•             Ability to work with people from diverse backgrounds and have
patience dealing with varied volunteer needs and abilities.

•             Ability to work well independently and on a team.

•             Ability to learn and apply new information or skills.

•             Ability and willingness to occasionally work early mornings,
evenings and weekend days.

 

Volunteer Coordination Preferred Qualifications:

•             Have a minimum of one year of experience coordinating
volunteers.

•             Experience with Microsoft Outlook

•             Experience working with a database system

 

Administrative Assistant Duties and Responsibilities:

The duties listed below are intended only as illustrations of the various
types of work that may be performed. The omission of specific statements of
duties does not exclude them from the position.

 

•             Assist staff with administrative duties as requested.

•             Assist with completion and compilation of necessary
statistical reports as requested.

•             Distribute incoming mail and prepare outgoing mail.

•             Order office supplies and monitor inventory.

•             Produce documents, mailing labels and reports as requested.

•             Help organize and facilitate special events in cooperation
with other staff.

 

Administrative Assistant Required Qualifications:

In addition to the qualifications listed in the Volunteer Coordination
Qualifications above, the ideal candidate will have:

 

•             Experience with office supply purchasing, filing, reception
and telephone duties.

•             A high degree of discretion dealing with confidential
information.

 

Administrative Assistant Preferred Qualifications:

•             Experience working for a non-profit organization.

•             Experience in grant reporting.

habitat in sensitive and unique natural areas on the California Channel
Islands and adjacent mainland. We help protect rare and endangered native
plant and animal species by restoring the natural habitat they depend on for
survival. We educate a variety of groups about the value of native habitat
and how to protect it.  We recruit volunteers and identify and develop
public and private funding sources for habitat restoration programs.
